(Job #14-15) Administrative Analyst/Specialist I, Non–Exempt $3,288—$5,263/month. Appointments are typically made at the beginning of the salary range. This is a full time, benefited, probationary, 12-month position in the Office of Enrollment Management.

Position Summary: The Administrative Analyst/Specialist performs a wide range of complex administrative, analytical research, developmental, financial and technical duties while serving as an operational advisor to the AVP of Enrollment Management.

Duties: Under the general supervision of the Associate Vice President of Enrollment Management, the AA/S coordinates:

• Analyzing, tracking, and monitoring Enrollment Management budgets and position inventories;
• Oversees operating expense and student payroll budgets;
• Oversees staff personnel processes including searches for staff positions;
• Schedules appointments for the AVP;
• Makes travel arrangements including preparing travel authorization and expense claims;
• Orders supplies and equipment;
• Serves as the Key Advisor for telephone & network services; and
• Completes other duties as assigned.

Minimum Qualifications: Education & Experience: Bachelor’s degree or equivalent training and administrative work experience involving study analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices or programs. Four years of progressively responsible administrative experience, including analysis, evaluation, report generation and independent performance is preferred.

Knowledge, Skills and Abilities: Ability to independently handle multiple work unit priorities and projects. Ability to communicate effectively with a diverse population. Thorough mastery of English grammar, punctuation and spelling. Demonstrated ability to use software packages, technology and systems, including but not limited to: Word, and Excel, with a demonstrated ability to create spreadsheets, formulas and issue reports or queries from the same, and email/calendar software. Establish and maintain effective working relationships within and outside the college and serve as a liaison for Enrollment Management. Willingness to learn university-specific software, e.g. PeopleSoft, OBI, etc.

Demonstrated ability to: learn, interpret, and apply a wide variety of policies, procedures and contractual information relating to and impacting the college. Organize and plan work and projects including handling multiple priorities. Ability to make independent decisions and exercise sound judgment. Compile, write and present reports. Quickly access appropriate reference materials from a variety of sources, including, but not limited to CSU Salary Schedule, Classification Standards, CSUEU contracts, as well as a variety of on-line forms and reference materials at various on-campus and CSU-level websites. Understanding of basic methods and procedures for research and statistical analysis and their application.

Preferred Qualifications: Comprehensive and detailed knowledge of university infrastructure, policies and procedures, and staff contracts. Proficiency with databases and university-specific software, e.g. PeopleSoft and OBI.
