Director of Advancement Services (#2277)
The Director of Advancement Services provides the oversight of the NIU Foundation's advancement operations. Reporting to the Director of Development, this position oversees two teams that provide data management and advancement services for the division. The Director of Advancement Services ensures these teams provide accurate and current data on all alumni, parents, donors, businesses, corporations, foundations and friends of the NIU Foundation and NIU Alumni Association. This position oversees the gathering, organizing, management and dissemination of information and data to guide the sound and effective advancement and overall business decisions for the NIU Foundation and NIU Alumni Association. This role establishes principles, adheres to guidelines and applies technical solutions to minimize risk, and maximize philanthropic investment in the organization. The Director oversees the backbone of the NIU Foundation's advancement operations that provide the collection, maintenance, reporting and integrity of data. Currently there are approximately 430,000 records in the database.

Duties and Responsibilities

Responsibilities include department oversight of management reports, systems documentation, records maintenance, use and support of computer-based information systems, reconciliation and transfer of funds to appropriate accounts, logging of all gifts on the database, and direct supervision of programmers, gift processors, statistical analysts and general office staff. Responsibilities also include the oversight of receipt, accounting, reporting, deposit and acknowledgement of gifts, and pledges from non-governmental sources.

The Director of Advancement Services oversees the Advancement Services staff and Data Management team who deal with a wide variety of functions relating to the development, implementation, maintenance, documentation, use, and support of computer-based Development information systems.

This position oversees the collection, preparation, analysis, interpretation and maintenance materials and data requiring a comprehensive knowledge of data management, ensuring the Data Management team's materials are structured so that the Division can make strategic decisions to advance fundraising and alumni engagement. Ensures institution-wide compliance with internal and external gift recording policies, procedures and regulations. Serves as subject-matter expert on gift processing and biographical information matters enforcing and interpreting applicability of IRS regulations, CASE reporting standards, and other gift reporting, recording and acknowledgement regulations and processes. Ensures the Data Management team provides timely and accurate reporting of all fundraising activity. The Director of Advancement Services typically oversees the Data Management staff and maintenance of records and files, and all data related tasks and projects, including an average of 400,000 manual data updates annually and more than one 1,000,000 updates annually including some level of automation.

The Director of Advancement Services requires a comprehensive understanding of database security and will help determine who requires access to the various screens and tables. Any potential breaches of security must be considered in advance of releasing any information other than within the University Development Office.

The Director of Advancement Services will sometimes address "critical needs" which occur on short notice and will require immediate action. Organization, prioritization, judgment, and problem-solving skills will be challenged.

The highly public nature of the duties of the Director of Advancement Services require good communication skills which will be frequently tested. Writing/proofreading skills will need to be employed and a good understanding of the English language, (both written and spoken) is highly important

Required Qualifications

1. Bachelor's degree with a minimum of 6 semester hours in statistics and a minimum of 6 semester hours in algebra, geometry, calculus, or statistics at the college level
a. Two (2) years (24 months) of work experience that required the use of statistical, graphical, spreadsheet, and database software packages, such as SAS, SPSS, Excel and Access
b. Master's degree in statistics or mathematics
2. One (1) year (12 months) performing comparable duties of the Statistician
3. Demonstrated professional supervisory work experience a data driven, advancement or development office with fundraising programs
4. Demonstrated work experience managing relational databases such as Millennium, EverTrue, Advizor

Preferred Qualifications

1. Bachelor's Degree, preferably in computer science or business management.
2. Five years Supervisory Experience in a data driven, advancement or development office with fundraising programs of similar size.
3. Exceptional Excel and database management skills, and previous work with Relational database(s).
4. Evidence of ability to plan statistical undertakings, collection and compilation of data.
5. Ability to train, motivate and manage staff in a high volume data entry environment.
6. Demonstrated ability to learn, interpret, and apply a variety of complex policies and procedures with minimal guidance. The ability to share ideas and convey them in an efficient manner is mandatory, as is the ability to work with other departments in the interpretation and enacting of these policies and procedures.
7. Proven track record supervising and ensuring the accurate processing of gifts and pledges and ensure processing deadlines are met.
8. Ability to organize, train, and motivate staff particularly in the gift entry and biographical maintenance functions of the fund raising system.
9. Skill using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
10. Proven track record in data management and advancement services management.
11. Ability to prepare, analyze, and interpret complex data.
12. Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
13. Ability to communicate information and ideas in speaking and writing so others will understand.
14. Demonstrated critical thinking and problem solving abilities.
1. Database management experience, Millennium, EverTrue and Advizor.
2. Experience providing training to every level constituent.

University, Department, and Community description:

Northern Illinois University is a comprehensive research university offering programs from the baccalaureate through the doctorate. Colleges include business, education, engineering and engineering technology, law, liberal arts and sciences, health and human sciences, and visual and performing arts. In general terms, the Division of University Advancement is responsible for friend-raising and fund-raising at Northern Illinois University. The Division of Advancement is comprised of the NIU Foundation and the NIU Alumni Association. Programs within the division are responsible for building strong relationships with NIU alumni (the NIU Alumni Association) and managing philanthropy to benefit the university (the NIU Foundation). The Office of the Vice President for University Advancement provides administrative direction for the entire Division of University Advancement.
