Educational and Experience Requirement Associates degree in Humanities, Technical Communications, Library Science or other related field. Bachelor’s degree preferred. Three years related experience or experience in a related field. Previous experience in editing and copy writing would be helpful. Experience in a college or university desirable, but not required. A combination of education, experience and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position Review and approve the format of theses/dissertations submitted to the university. Manage the Electronic Thesis and Dissertation (ETD) submission process, publish the digital object for the Institutional Repository, and participate in general office operations in The Graduate School.

Primary Responsibilities Maintains list of graduate students who have submitted a thesis or dissertation for review, including contact information, date of submission, and number of reviews. Tracks the electronic thesis and dissertation workflow in VIREO software. Tracks and monitors thesis/dissertation candidates’ progress towards academic calendar deadlines. Produces semester report of thesis/dissertation candidates who have successfully completed the process. Communicates with students to provide thesis/dissertation related information upon submission of their initiation sheet (i.e. thesis/dissertation related information, deadlines, review procedures, required corrections, submission requirements, and/or answer questions). Serves as resource to students and faculty advisors. Develops instructional materials to include online instructional guides on the Electronic Thesis and Dissertation (ETD) submission process, copyright and attributions, and thesis and dissertation formatting. Presents workshops on such topics as needed. Provides workshops in collaboration and coordination with the Academic Success Coach. Serves as liaison to Registrar’s office regarding dissertation information for commencement. Reviews theses and dissertations for formatting requirements. Meets with graduate students on an individual basis to reviews thesis/dissertation, provides direction regarding format requirements and academic standards, answers questions, and communicates policy guidelines. Helps students with word processing formatting questions, including the use of macros in thesis/dissertation template. Facilitates reader review of theses. Performs final mechanical review. Reviews theses and dissertations for potential copyright and attribution issues. Provides guidance for thesis and dissertation students on obtaining permission from copyright owners. Manages request for thesis and dissertation embargoes. Manages, reviews, and tracks submission of electronic route sheet and initiation sheet. Gathers feedback from graduate students at the conclusion of their thesis/dissertation for continuous quality improvements. Performs other related duties as assigned.

Other Specifications Excellent communication skills, both written and verbal. Familiarity with graduate-level research reports. Familiarity with American Psychological Association (APA), Modern Language Association (MLA), Chicago-Turabian, Institute of Electrical and Electronics Engineers (IEEE), and American Institute of Physics (AIP). Intermediate skills with Microsoft Office Word, Excel, and PowerPoint. Strong critical thinking and analysis skills. Ability to organize and set priorities. Superior attention to detail. Self-motivated to work independently and as part of a team. Ability to handle multiple projects simultaneously and process with frequent interruptions. Advanced work processing skills. Ability to develop spreadsheets and instructional materials. Ability to use office equipment, including scanners and digital cameras.
